Classroom Assignment
Procedures for the Baltimore Campus

Welcome to your resource for requesting specific classroom space and understanding how space is allocated to academic courses. This page only addresses requests for space for regularly scheduled academic course sessions and exams.

Requests for space to accommodate meetings, special activities, and any non-course-related reservations should be directed to Event Services . You can contact Event Services (ext. 5077).

How do I request specific space with the equipment I need?

  • Information regarding specific equipment needs should be submitted as early as possible on the initial master schedule that is provided to the department chairs by Academic Publications approximately six-to-eight months prior to the start of a semester. Requests made later than this may not be given consideration.
  • If a request for space needs to be made after the initial master schedule is submitted, please do so in writing (e-mail or memo).
  • Requests should be worded such as: "need hi-tech classroom", "TV/VCR", etc.
  • Flexibility is essential. Specify the broad desired feature.   For example:   instead of asking for MH 058 (a specific hi-tech classroom), please simply ask for a hi-tech room.
  • Contact Chantele Johnson , Assistant Director of Records, Maryland Hall 141, ext. 2256 or Pat Dalrymple , Associate Director of Records, Maryland Hall 141, ext. 2503 if you need assistance with classroom assignments.
  • Include in the request the semester the course is being offered; the full course number, including section number; your name; department; the best way to reach you; and your specific request.
  • State whether this is a one-time or on-going request.
  • Department administrative assistants may request classroom assignments for their department and communicate them to the faculty.
  • Don't forget to update us if the information originally submitted has changed.
  • The Records Office is not responsible for equipment purchasing. If your request involves purchasing something new, you will be directed to Tech Services.

Am I guaranteed to get the space I requested? (back to top)
  • There is no guarantee when a request is made that resources will be sufficient to accommodate every need at a particular time period. Alternate plans should be established in the event your request cannot be met.

Where can I find my classroom assignment? (back to top)
  • Assignments are available on WebAdvisor for Faculty by clicking on Search for Sections. On the Search for Sections screen, pull down the term for which you are searching, scroll down and enter your last name as it appears on your Social Security card on file with Human Resources. If you have a common last name, you may get more course sections in your results than your own sections. If you have a last name that has upper and lower case letters in it (i.e. McDonald), then search on either Mc or Donald rather than the whole name.
  • You can call ext. 2263, 2256, or 2503 to receive assignment information.

When can I advertise my room assignment to my students? (back to top)
  • Make certain that you check with the Records Office, ext. 2503, to ask if classroom assignments have been finalized before advertising this information on your syllabi.    

How can I schedule exams, review, or make-up sessions? (back to top)
  • Questions regarding exam scheduling should be directed to Pat Dalrymple in Records (ext. 2503).
  • To schedule make-up or review sessions, including those being scheduled for Study Day, contact Event Services .
  • Scheduling any extra time outside the normal class schedule should be made through Event Services .
  • Maryland Hall 240 is an exception. All reservations for this room are currently made through the Records Office.
  • Occasionally you will be directed elsewhere to schedule an academic course. If you need a seminar room or a computer lab, etc., you will be helpfully directed to another source.

Can I make a request for space on the web? (back to top)

•  As long as the course has already been submitted in writing to Records by the department chair, you can send an email to Chantele Johnson or Pat Dalrymple at the Records Office.


What is the classroom assignment process ? (back to top)
  • Classroom assignments are finalized the first week in August for the Fall Semester; the first week in December for the Spring Semester; and in February prior to the Summer Sessions. Assignments that are on WebAdvisor prior to this period are NOT final and are subject to change! Many changes occur between the time the master schedule is first submitted by the chairs and the time classes actually begin. We want to make certain that faculty who have made certain requests for space are given every opportunity to have this request fulfilled, that all new faculty are in place, and that teaching schedules are as set before classroom assignments are finalized.
  • Once classrooms are finalized, scheduling is turned over to Event Services for meetings and lectures.
  • Our goal is to ensure a smooth start to the semester. The later classroom assignments are finalized, fewer last minute changes are necessary, fewer classes need to be moved, and less students and faculty are lost and wandering looking for their classes.
